Darwin Business Solutions ("Darwin", "we", "us") respects your privacy. This policy explains how we collect, use, disclose and protect personal information under British Columbia's Personal Information Protection Act (PIPA) and, where it applies, the federal Personal Information Protection and Electronic Documents Act (PIPEDA).

1. Information we collect

• Contact information you send us, such as your name, email address, business name and message.
• Client records needed to provide bookkeeping and payroll services, such as financial transactions, bank and card statements, invoices, employee payroll details (including Social Insurance Numbers where payroll requires them) and tax account information.
• Basic technical data our web host may log automatically, such as IP address and browser type, for security and to keep the site working.

2. How we use it

We use personal information only to respond to enquiries, provide and bill for the services you engage us for, meet legal and regulatory obligations (for example, filings with the Canada Revenue Agency or the BC government), and keep our systems secure. We do not sell or rent personal information, and we do not use it for marketing without your consent.

3. Consent

By contacting us or engaging our services, you consent to our collecting and using your information for these purposes. You may withdraw consent at any time, subject to legal or contractual limits; withdrawing may affect our ability to provide services.

4. Disclosure and service providers

We share personal information only as needed to deliver our services or as required by law. This includes government agencies when filing on your behalf, your accountant or other advisers you authorize, and trusted service providers we use to run our practice (for example, accounting software, payroll software, email, secure file storage and payment processors). Some providers may store information outside Canada, including in the United States, where it may be subject to the laws of that country. We require providers to protect information appropriately.

5. Safeguards

We protect personal information with reasonable security measures, including access controls, multi-factor authentication where available, and encrypted services. Access is limited to people who need it to do the work.

6. Retention

We keep personal information only as long as needed for the purposes above or as required by law (for example, CRA record-keeping requirements, generally six years), then securely destroy or anonymize it.

7. Access and correction

You may ask to see the personal information we hold about you and ask us to correct it. We will respond within 30 days, as PIPA requires. Contact us using the details below.
